Quality Assurance in Newgen

Quality assurance is a way of life in Newgen. Detailed job studies, a high level of automation, and an eight-dimensional feedback analysis system incorporating failure modes effective analysis (FMEA), control plans, mistake proofing, and permanent corrective actions enable Newgen to deliver quality services consistently.

Narada, our advanced mail management system, supports this by integrating all mail communications and instructions into the production process. Our customized workflow engine ensures process integrity and optimizes scheduling. Continuous monitoring and automatic escalation are key to ensuring process adherence.

Our data division is ISO 9001 certified.

Among the features of our production process that ensure quality are
  • For each publisher we have a dedicated team that works as an extension of the client's production team.

  • All input and output files for a title are stored in a single location, using robust filenaming conventions to control versions.

  • A detailed job analysis is carried out before work begins on any title, generating a style sheet that captures all elements of design and treatment specific to the client and also peculiar to the job. (The same style sheet moves with the job through copyediting, template creation, coding, pagination, and proofreading.)

  • The process for template building-design, testing, modification, and certification-is entirely self-contained.

  • The data coding process is integrated into the template creation and pagination process using a conversion that maps generic coding instructions onto project-specific coding instructions.

  • Validation routines for coding use the same conversion mapping to eliminate all errors.

  • Our e-mail management system and production processes are fully integrated for efficient project management and effective implementation of title-specific requirements.

  • Electronically controlled workflows require approval for any deviation.

  • The pagination process is highly automated.

  • All proofreaders undergo three months' in-house training before moving into any live production process.

  • Newgen has a strong culture of creating internal customer satisfaction at every stage of production.

  • All errors noticed at any stage are recorded, and feedback is analysed in detail to address the root cause.

  • Permanent corrective action is taken, and wherever possible mistake proofing is put in place and then monitored to ensure its efficacy.

  • All client-reported errors are analysed by a cross-functional senior management team, and the containment action is initiated within hours.
Continuous Performance Management

Weekly reports are sent out to clients' production editors. Monthly business reports are reviewed with the clients' senior managers to track key performance indicators. Regular teleconferences are organized with clients to check that projects and accounts remain on track.

Schedules and Capacity

Adherence to schedules is tracked at a team level by the team leader. Newgen handles workflow variations by consciously providing for a 15% 'bench' capacity in every team, so that the peaks and valleys can be managed. Our business model is a scalable one, and hence scaling up to handle 30-40% increases in workload is part of the strategic plan.
